Project Manager absence best practices
As a Project manager one of the worst thing that can happen is missing processes, as so I decided to make a post about absence best practices.

Let’s divide the process by phases
Before going to vacation ✈️
The first step before anything else is to define a substitute.
Next to that is to warn the client about your absence and introduce the substitute PM-SM(project manager/scrum master). 🚨
You should tidy-up loose ends and leave your project in a tidy state 🧹
- Deliverables should be derived before you leave or document what is still missing and has to be done.
- People management should be done too for easier management of the project.
Gather all information about the phase of the project, next deliverables and deadlines that will hit (could be stored in a wiki or a document) 📂
- You can have an wiki on devops or documents store in a GDrive for example
Transfer ownership of events and permissions of important documents 🤝
Make an appointment with the substitute PM-SM that will be in charge to discuss relevant topics about the project

- Notes should be taken depending on the need. 📄
Hold a meeting with every team member or in small groups based on responsibilities. Check that all members with deliverables due understand what’s expected of them and the deadline.
Customize your out-off-office message

During Vacations 🥥
Substitute PM-SM must follow the structure of the project.
Create a Handover Wiki with highlights/decisions/etc that were made during the absence period
Update your tracking software with new requests/bugs/etc…
Returning from vacations 👨💻
First of all turn off out-off-office message. 📆
Owner and substitute must do a retrospective about what happened during off time. 📲
Check-in with key people
Review handover Wiki reports that came out while you were away. 📖
